Work: Fully remote (this is a WFH contract role)

Hours: 3 days per week; 21 hours p/w (inc. Wednesday)

The Construction Industry Research and Information Association works to bridge science, policy and practice to enable built environment professionals to improve management and delivery through the identification of industry issues and solutions, with membership providing a unique opportunity to influence the sector’s research and guidance agenda.

About the Role:

The Finance Assistant is a key member of the CIRIA Finance team with responsibility for ensuring that the bookkeeping records (sales ledger, purchase ledger and cash book) for CIRIA are accurate and up to date. In addition. they take responsibility for collecting training, events, and publications debt. They work with the Finance Director and Finance Manager to ensure the smooth running of the finance department.

Main duties and responsibilities

  • Liaise with the Customer Services Team who generate sales invoices from the IMIS CRM database for training, events, and publications
  • Take customer credit card payments via OCADO
  • Generate sales invoices for membership subscriptions, books club and networks on the Finance database (ACCESS Dimensions) in liaison with the Customer Services Team and assist the Customer Services team with IMIS invoicing
  • Update the CRM system (IMIS) with receipts taken via BACS
  • Bank and cash book
  • Enter all bank transactions via the cash book on ACCESS dimensions
  • Credit control
  • Take responsibility for chasing all outstanding events, training and publications invoices generated via IMIS
  • Assist the Finance Manager with chasing outstanding membership and research invoices generated via ACCESS
  • Purchase ledger
  • Process invoices received via the online purchase invoice system (CAPTURE) ensuring invoices are coded to the correct supplier, nominal, and job codes
  • Enter new suppliers into ACCESS, ensuring we have the correct name, address and bank details for each new supplier
  • Prepare the monthly supplier BACS run in the bank
  • Other
  • Assist the Finance Manager and the Director of Finance as required
  • Any other duties within the competence of the post holder which they may reasonably be requested to deliver

Candidate specification

Essential

  • ACCA or CIMA part qualified or qualified by experience.
  • A good working knowledge of Microsoft programmes, with emphasis on excel.
  • Experienced with an Accounting system using the cash book, sales ledger, and purchase ledger.
  • Ability to plan own work and to prioritise urgent and important tasks to ensure deadlines are met.
  • Good communication skills; professional and courteous language in emails and other correspondence.
  • Achieves results with minimal supervision.
  • Operates effectively and collaboratively as part of a team.
  • Flexible approach to work and comfortable with changing priorities.
  • Understands when to maintain confidentiality.

Desirable

  • Experience of Access Dimensions.
  • Experience of IMIS or another CRM system.
  • Excel intermediate knowledge (SumIF, LookUps).
  • Previous experience working in a collaborative, virtual environment.
  • Experience of working in a membership organisation.
  1. While this role will be a WFH contract, in the first few days, you will be expected to attend the office in London to meet the finance team. Equipment to enable WFH will be provided.
